Microsoft Optional IE Update

Microsoft is releasing an optional IE update on Tuesday, April 11th that will change some of the behavior of MLXchange.

The change in behavior will show up as an additional dialog window requiring the end-user to manually activate the Active-X controls before usage. MLXchange areas affected by the change are Listing Maintenance, Image Submission and Statistical Reports.

First American MLS Solutions recommends end-users do NOT download the option upgrade (KB912945).

If the download has been completed, follow the instructions provided below to override the changes made by the IE Update:

  1. Go to control panel
  2. Go to "Add/Remove Programs"
  3. Check box "Show Updates"
  4. Select "Update for Windows XP (KB912945)"
  5. Click "Remove".
  6. Restart your computer.
How can my Agent Web Page be found in search engines?

Search engines use different approaches to search engine placement and some are on a fee basis. Most search engines use automated searching features called spiders to hunt for keywords on Web pages. They then rank the results based on how many times they find the chosen keyword on a page. To help consumers find you, you need to understand how they search the Web and apply keywords in your Agent Web Page found under Domain Setup > Advanced Option. You can enter up to 10 keywords or phrases separated by commas. Keywords can also appear in the text or within links in your Web pages. To identify keywords, think what words or phrases customers (your target audience) will use to describe your service and product. Again, marketing your Web site address is the key to leads.

If I am running windows NT/2000/XP do I need to do anything different in using MLXchange?

If you are running Windows NT/2000/XP you need to log into the computer as the Administrator at least one time in order to download the "new" MLXchange files. If you are in an office environment, contact your office PC support technician for assistance.

Can MLXchange be used on a Macintosh Computer?

With PC emulators like Virtual PC, MLXchange can be made to work on a Mac. However, Macs are not supported by Interealty.

How do I access MLXchange?

You can access MLXchange directly by going to www.r-world.com and clicking on the MLXchange logo. You can also typing in sef.mlxchange.com into Internet Explorer's address field. Do not type in the "www" beforehand. You must have Internet Explorer version 6.0 Service Pack 2 or higher to access MLXchange. Your MLXchange login (Public ID/Private ID) is the same as your Stellar login.

What are those drop downs next to each search field that say "Starts with and Contains"?

In MLXchange, these are called Advanced Search Options. These options offer the user additional flexibility when searching. For Example, when using 'starts with' and 'contains' searching for a Street Search using Starts With Coral will find all streets such as Coral, Coral Reef, Coralwood, etc. The Contains option allows you to search for a name containing a certain word regardless of what other words are in the name. For Example Contains Cypress would be effective in finding streets or subdivisions like The Cypress or Cypress Phase 2. If your drop downs are not visible, turn them on by clicking 'Show advance Search Options' on the bottom right.

If I don't like the on the Basic Search Template, how do I add a missing field?

Any search field may be added to any search template using the Quick Add to Search button located at the bottom of the Search Screen. After clicking, the Available Data Fields box will open and allow you to select the search field(s) needed. Click on each desired search field and then click on the Add button. This new search criteria field(s) will now appear at the bottom of the search template. Be sure and Save the Search if you wish to use it again. Alternatively, to create or modify search templates use the Action Bar and select Template Manager. This will allow you to define your preferred search criteria fields and place them in a specific order for easy access later.

How do I setup a Prospect for a client?

  1. Create a Client with an email address in the Client Manager. This is done by clicking on Clients from the Navigational Toolbar, then clicking on the Add New Client button and filling in the fields provided. Click on Save when finished.
  2. Next you need to complete a search for listings. Click on Search from the Navigational Toolbar, fill in the fields provided, and perform the search to get the results on the screen. (See the article: How do I do a search in MLXchange? for complete instructions.)
  3. After the search results are displayed, select Save as New Search from the Action menu at the bottom and click on Go.
  4. Type the name that you wish to give your new search in the Enter a name to save this search as field. You may also enter a brief description of the search in the next field.
  5. Select the client you wish to create the Prospect for from the Associate Search to Client drop down menu.
  6. Under the Prospecting Notification Settings section select Yes from the Enable auto-notification for search? option.
  7. Next from the Send To section select Clients email so that it will be sent to your client and select Agents email so that the Prospect will be sent to you as well.
  8. Select the report format that you want the Prospects to be sent in from the Include Report drop-down menu.
  9. Click the Save button when you have completed setting up your Prospect.

Can I use Netscape or another Web browser to access MLXchange?

Many of the advanced features in MLXchange, such as the multi-level sorting, filtering, thumbnail views, etc., use ActiveX technology, which is currently only available in Internet Explorer.

Can I export images, listings or tax information?

Yes you can export and save images, tax or listing data in a comma or tab delimited file for use in third party software. Simply perform a search, select the appropriate records for exporting from the Results Screen and then select Export using the Action Bar and click on the green arrow for Go. Follow the steps to save the file to your PC (saving it to your Desktop makes it easier to find later). You can then import or open that file by using the import/insert file feature in the third party software program. Another easy alternative is to right click on the new data file icon on your Desktop, select Open With and then Choose Program. Export limits do apply.

What are the Search Operators and what does minimum and maximum mean

If your search operators are not visible, turn them on by clicking ?Show Operators? or ?Show Advanced Operators? located in the bottom of the MLX or Tax Search Screens. The search operators vary based on the search criteria field and let you narrow your search using Equals, Equals All, Not Equal, Minimum, Maximum or Between. Minimum means no less than as in a minimum of 3 baths or more and Maximum means no greater than as in a maximum price of $200,000.

A saved search allows you to add criteria in the search fields and save them to run again later. Only saved searches can be associated to a client and/or used for Prospecting notification.

How do I search for Foreclosures in MLXchange?

Foreclosures must be among your search criteria. To add it to any Search Template while in Listing Search, click the Quick Add to Search at the bottom left of the Search Template. Select and click on the field labeled Special Instructions, and then select and add Foreclosures.

How do I search for multiple cross property types like RE1 and RE2?

Click on Listing Search, from the Search Type drop down box select Cross Property (XPROP) and input your criteria and then click Results. Keep in mind that the Cross Property search fields and the fields that will appear on the one-liner report (grid view) from the Results Screen are limited to certain common fields among cross property types.

How do I find contact information for another agent or office within my Association (Yellow Page Search)?

Click on Listing Search, from the Search Type drop down box select Member or Office. Search by agent or office information by using the name or ID if known. Click on Results or Details to view the contact information displayed within the report.

How do I find an e-mail address for another agent in my Association?

Click on Listing Search, from the Search Type drop down box select Member. Search by agent information by using the last name and first name. Click on Results or Details to view the agent?s email address displayed within the agent information report.

Can I identify my favorite and most often used reports for easy access?

Yes, in addition to setting up a single report as your default to display on the Detail View, you can also define up to 6 of your favorite standard or custom reports to display as quick links on the Detail View for easy access. To do so, click on Edit next to Favorites on the Detail View or alternatively click on Settings and then select Personalize and Edit Favorites. Select up to 6 reports and click Finish.

Why are there links and buttons that will take me back to the previous page? Why can't I just use the Back button on my browser?

The buttons and links that are built into the program do more than take you back to the previous page -- they preserve important session information that allows the program to remember what state the previous page was in. If you use the browser's Back button instead of these built-in navigation elements, you may be returned to the Home Page or to a page other than the one from which you came.

Can I use AOL or MSN browsers to access MLXchange?

No, however, you can use AOL or MSN service as your Internet access. Once you connect to the Internet, you must minimize the AOL or MSN browser and then launch Internet Explorer and type in the URL.

What do I need to run MLXchange?

Make sure you have the right computer equipment and latest version of Internet Explorer. At a minimum, you will need a computer with Microsoft Windows 98 or higher. You must be using Microsoft Internet Explorer Version 6.0 with Service Pack 1. To check what version you have installed, simply open Internet Explorer, click on Help and then click on About Internet Explorer. You can download and install the latest version of Internet Explorer 6 from www.microsoft.com.

Your Public and Private IDs are the same as what you are using today in Stellar, MLS Passport.
Usually these are your license # and password.

How do I access MLXchange?

How do I make a shortcut on my desktop for MLXchange?

Launch Internet Explorer and type in the URL for your MLXchange site in the address field and log into MLXchange. At the MLXchange HomePage, click File on the Internet Explorer tool bar and then select Send.

Select Shortcut to Desktop. From that point forward, just click on the MLXchange shortcut instead of Internet Explorer when you want to open MLXchange.

Note: AOL users must still connect using AOL and minimize the AOL browser first.

MLX 3 Listing Maintenace with SUPRA & Showing Time

How soon will my listings and photos show up in MLXchange?

Immediately.

How will I enter my listings into the MLS?

For those who currently add listings, Listing Maintenance will be available in MLXchange beginning March 16. At the same time, Passport Listing Maintenance will be re-configured to launch the MLXchange Listing Maintenance function.

How do I correct the location of my listing on the map?

If the listing has already been added you will need to go back into Listing Maintenance to modify the listing. You must have access to Listing Maintenance to perform this task.

  1. Click on Tools from the Navigational Toolbar.
  2. Select Listing Maintenance.
  3. Enter the ML# of the listing Find listing by ML# field and click Go.
  4. Click on the Edit button.
  5. Click on the Map Property button at the bottom of the screen.
  6. On the map, click on the correct spot that the property should be located. The pin should move to where you have clicked. Click OK.
  7. Click on the Save button. The map modification is complete.

If you are in the middle of adding your listing you can simply click on the Map Property button and follow the steps 5-6.

How do I change my personal contact information in MLXchange?

You must call your association office to change your contact information that is displayed on the listing reports. All contact information is maintained by the association and then uploaded to MLXchange. You can, however, change the primary e-mail address within MLXchange that will then display in the ?Reply To? section of your e-mails. (You will still need to contact the association office to change your e-mail address that displays within the listing reports.) To change your primary email address, follow these steps:

  1. Click on Settings from the main menu bar.
  2. On the Settings page, click Contact Information.
  3. Enter the new email address and then click Save.

How do I add my personal or agent photo to MLXchange?

  1. Click Tools from the Navigational Toolbar.
  2. Under the heading Images click Member Images and you will see a 4 step process.
  3. Enter your Public ID or Username in Step 1 and click the Lookup button.
  4. Click the Browse button and browse to where your agent photo is located.
  5. Click Save to upload the photo.

If you are using the system default RE1 Standard Grid, just use the copy feature and then click Finish. Select the new personal report you just created from the reports available and click on Change Field Format. You can then select and change the column names and alignment for each field desired. Click Done. Your new personal column report will be available on the Results Screen. Use the Grid drop down box to find your new report if necessary.

Can I resize columns on the one-liner report (grid view) on the Results Screen?

MLXchange sizes column width using best fit, which is based on the longest text in either a column name or field. The system then adjusts the total number of columns based on page width. Once you exceed the number of columns on a single page, the system will force a second page. End users can shorten the column names if desired by following the steps below. Resizing columns (Excel like) is not presently possible using pure browser technology. We will continue to re-evaluate this capability for the future.

Can I select my preferred personal one-liner report (grid view) as the default to appear automatically on the Results Screen?

Click on Settings in the upper right hand corner. Select Personalize and then Personal Defaults. Under Personal Selections find Results Grid and click on the drop down box to find your preferred report. Click Apply and from that point forward your preferred personal one-liner report (grid view) should appear as the default on the Results Screen.

Can I select which columns appear on the one-liner report (grid view) from the Results Screen?

You can customize unlimited personal one-liner reports (grid views) for easy access from the Results Screen. You can create or modify one-liner reports (grid views) from the Results Screen by selecting Column Manager using the Action Bar and then click on the green arrow for Go. You must first, however, be using a personal column report (grid view) in order to modify the columns. If you are using the system default RE1 Standard Grid, just use the copy feature and then click Finish. Follow instructions using Add or Modify Fields and place them in your preferred sort order. Click Done. Your new personal column report will be available on the Results Screen. Use the Grid drop down box to find your new personal column report if necessary.

Can I set MLXchange up to bypass the Home Page and go directly into a simple search as a timesaver?

Yes, you can select which menu or activity to load immediately after logging onto MLXchange and bypass the Home Page. For example you can select Search to be the start page or to start on a blank page. To do so, click on Settings and select Personalize and Personal Defaults. Under the Start Menu, select your preferred start page using the drop down box and then click Apply.
For brokers and office managers there is also an option called ?Office? Start Menu that allows broker and office managers to override the end users? Personal Start Menu settings. This is useful for setting up office computers to go directly into the Search to save time.

What if I need to list a New Construction that doesnt have a Folio yet. How do I do it?

New Construction properties listed through the MLS may be flagged by our iCheck system due to the fact that the they usually don't have folio's. These cases are handled slightly different than conventional listings. If you are listing a New Construction and there is no folio as of yet, our MLS system requires that you modify your listing by gong to Construction Type and choosing NEW or Under Construction. You would also modify the field Year Built description and choose New from the list. These methods help our iCheck system to identify this as a New Construction so that your listing isn't flagged by the automated system again.

What if I need to list a Condo Conversion that doesnt have a Folio yet. How do I do it?

Condo Conversions listed through the MLS may be flagged by our iCheck system due to the fact that the Conversions usually don't have folio's. These cases are handled slightly different than conventional listings. If you are listing a Conversion and there is no folio as of yet, our MLS system, requires that you modify your listing by going to the folio field and entering the letters CONV and the date the property was listed. For example, a conversion being listed on January 1st of 05 would read: CONV01012005. You would also modify the field Year Built description and choose New from the list. These methods help our iCheck system to identify this as a conversion so that your listing isn't flagged by the automated system again. Our Goal is to ensure that our MLS Data is accurate and reliable and your cooperation in helping us accomplish that is greatly appreciated.

Please do not submit your URL more than once a month.  Multiple submissions of the same URL to some search engine could be considered spamming and therefore may ban you from being listed.

How do I link my MLX Professional Agent Web Site to my third party or company website?

If you have an existing third party or company website, you can create a link on your MLXchange Agent Web Site. The easiest way to do this is to add text and the domain name (URL) on your Agent Web Site Home Page. Under Agent Web Page Setup > Manage your Web Pages. Under Section 1, repeat your contact information and add the following text: Visit My Website at: http://www.YourDomainNameHere.com. You must use http:// as part of your URL address to create a hot link. Alternatively, you can turn any text into a hotlink just by using the “Create Link” icon in the tool bar and then typing in the URL address.

How can I hide the Scheduled Client Interaction and the Client History on the Private Client View Website?

By default this information is made available for the Private Client View Website.  To turn this off, you will need to click on Tools, select Agent Web Page Setup and then Edit Page Content.  From there you will need to make sure that you remove the check next to Show Calendar and Task items on Private Client View at the bottom of this section. 

I have recently made changes to my Agent Web Site. When I click on preview everything looks fine. However, when I log out of MLXchange and view the web site by using the physical address, the changes are not there.

Some changes to pages may take up to an hour to update when viewing the site using the external address.

Can I customize my Agent Web Site Domain?

MLX Professional includes a domain name. The default prefix is your User ID followed by your MLXchange domain (URL) name. If you wish to customize the domain name prefix, click on Settings > Personalize > Agent Web Page Setup > Domain Name. Enter a prefix of your choice and select Save. Prefixes are available on a first come, first serve basis and can be modified at any time. (Note: If you own a branded domain name, you can use that as your primary domain name and redirect traffic to your Agent Web Site.) Remember, marketing your website Domain Name is key to getting leads.

Can I use my own branded domain name (URL) instead of the MLXchange one?

You can use a branded domain name (e.g. YourName.com) to redirect customers to your Agent Web Site.  You can put in a redirect address (your branded domain name) by going to Agent Web Page Setup, then selecting Domain name.  From there you will need to click on Advanced to expand the Advanced information section of the page.   You will then see an edit box that will allow you to enter your branded domain name.  You must ask your domain registrar to redirect visitors from your domain to your MLX Professional Agent Web Site. (Your domain registrar is the company that sold you your domain name.) If you administrate your own domain, you must set up the redirection yourself.

How do I use my company’s branded logo in my Agent Web Site or Reports.

Your company logo must be uploaded to the “Office Image” library in MLXchange by your designated broker or office manager.  Images can be loaded by the office under Tools > Images > Office Images.  The logo will then become available to all associates within that office.  To select the logo for use in your Agent Web Site, the end user must select the office logo using Agent Web Page Setup.  Go to Settings > Personalize > Agent Web Page Setup > Manage Your Images > Company Logo and click on the drop down box.  Select your Company Logo so that it appears in the Image Box and click Save.  (For reports, you can create/modify a report to include the logo using Designer Tool.)

How do I add Featured Properties to my Agent Web Site?

Featured Properties can be added to the Home Page of your Agent Web Site as well as in a separate page dedicated to Featured Properties. To add Featured Properties, you must enter the ML numbers in your Agent Web Page Setup in the Featured Properties selection box found on both the Home Page and Featured Properties Setup. You can use Featured Properties to display not only your own listings, but also those within your own office (other office listings can be added with broker permission). On your Home Page, the Featured Properties are limited to Active Listings only. Under the Feature Properties Page, you can display both Active and Sold Listings in their designated sections.

Some of my listings are missing in the “My Listings” section of my Agent Web Site.

Only your Active listings will automatically appear. If a listing status changes to Pending, Sold or Off Market, it will no longer appear.

I was told that my client would have a personal private web page to where they can view and review properties that match their criteria, the Client History, and even CMA presentations. How does my client know what the web address is to view this informat

A private web page link can be sent to your client via e-mail.  To send this information, you will need to access the Client Manager, and then open the particular client.  One of the options in the Action bar is “E-mail Private Link”.  Selecting that option will allow you to send a client their Private link.    It's a good habit to preview the Private Client Web Pages before sending the link to your customer, in case any changes need to be made. It's also recommended that you follow-up with your client to discuss the Private Client Web Page and suggest they bookmark the page for easy access in the future.

How do I add Properties to my client's Private Client Web Page?

After conducting a search in MLXchange for your client, you can associate properties to your client from the Results Page. These properties will automatically appear on the Private Client Web site.

How do I get leads in MLXchange?

Once you have established your MLX Professional Agent Web Site or integrated the MLX Professional IDX and/or lead management tools into your third party website, leads will be captured within your MLXchange system and set off a series of events. In order to get traffic on your website, you must market your website by promoting your Agent Web Site URL address/domain name. Promote it on your business cards, e-mail signature, and other marketing material.

How can I access my saved searches that I set up for clients in the Listing Search?

One of the features of MLX Professional is a more comprehensive client manager.  MLX Professional actually lets you associate and store saved searches to a client for easy access from Listing Search or Clients by selecting the client.  In the Listing Search, above the Saved Searches list is a drop down menu with the names of your clients.  Upon changing the client, all the searches associated with that client will now be displayed.  When no client is selected, the list will show only those searches that are not associated with a particular client.

I have recently changed my e-mail address. I have contacted my local Board or Realtors (or local MLS) and they have changed my address. I have also changed my primary e-mail address in MLXchange. However, when I send an e-mail, the address in the body

The default e-mail signature when signing up for MLXchange still contains your original e-mail address.  You will need to go to Settings > Personalize > Contact Information and view the E-mail Signature box.  Change your e-mail address from within the E-mail Signature box and click Save.  You may need to scroll down the edit box to see the entire signature. 

What’s my Primary E-mail Address?

When you log into MLXchange for the first time, you will be prompted to enter your e-mail address.  If you have a branded e-mail address or one in which your customers recognize you by, you will want to specify your primary e-mail address for outgoing e-mails.  You can specify which e-mail address you want to use with MLXchange when you are prompted to update your Contact Information.  The system will default to your new MLXchange e-mail address. (If you use the new MLXchange e-mail address, your reply e-mails will go to your MLXchange Message Center, not to your primary e-mail address inbox.) If you wish your e-mail to go to your primary e-mail address, be sure to select primary e-mail address and click save.  To verify or change your e-mail address go to Settings > Personalize > Contact Information.

What’s my MLXchange E-mail Address?

MLXchange Professional includes an e-mail address that lets you receive e-mail within MLXchange. The benefit of the MLXchange e-mail address is that e-mails will be delivered directly into MLXchange and can be archived in your Client Manager.  When you log into MLXchange for the first time, the system will prompt you to update your Contact Information, which includes your new MLXchange e-mail address.  The system will automatically insert your User ID as the prefix for your e-mail name followed by your MLXchange domain name. You can change the prefix to something more memorable, such as your name or company name, before saving.  The prefix cannot be modified once saved and prefixes are available on a first come, first serve basis.  The system will default to your new MLXchange e-mail address for outgoing e-mails.  To verify or change your e-mail address go to Settings > Personalize > Contact Information. 

When I am trying to send an e-mail through MLXchange, the body of the e-mail contains [Contact’s Salutation], [Listing URL], and [User’s E-mail Signature]. Where is the hyperlink for the client to click on to view properties, and my e-mail signature?

The mail merge feature of MLX Professional lets you send personalized e-mails to multiple recipients at once. This is similar to the BCC feature (recipients do not see that you sent the e-mail to multiple recipients).

The recipient’s salutation [Contact’s Salutation] will automatically appear in the e-mail text when the e-mail recipient receives your e-mail.  The Salutation is auto-filled from your Client Manager, if you add the e-mail recipient from the client manager. If the recipient is not in your client manager, no salutation will appear or you can easily remove the [Contact’s Salutation], and type in the salutation.

The [Listing URL] will appear as an active link to the listing in the e-mail text when the recipient receives your e-mail.  Do not remove or modify the [Listing URL]. 

Your e-mail signature [User E-mail Signature] will automatically appear in the e-mail text when the e-mail recipient receives your e-mail.  You can add or modify your MLXchange e-mail signature under Settings > Personalize > Contact Information > E-mail Signature.  Be sure and include your e-mail address, and Agent Web Site Domain (URL) in your e-mail signature. 

Where can I find a history of e-mails that were sent to my client?

  1. Click on Clients.
  2. Place a check in the box next to the client.
  3. Click on Details.
  4. In the Client Record, click on Client History. To view the results of the search, click on the title of the subject.
  5. A small window will appear. Click on the link in the body of the e-mail. Your website will appear in a new window. Click on the link to view the properties.  

My clients cannot open my MLXchange e-mails with AOL.

If you or your clients experience problems opening MLXchange e-mails using AOL, this is a result of AOL's integrated pop-up blocking.

Solution: Turn off pop-up blocking or add MLXchange to exempted pop-up restrictions.

  1. Open AOL
  2. Press Ctrl + K to open the Keyword screen
  3. Type Pop-Up
  4. Uncheck the box that says Suppress pop-ups

If your clients do not wish to turn off their AOL pop-up blocker, they can add the MLXchange related Web sites to an exempt list.

  1. Where it says Allow only these sites (suppress all others), and the following Web addresses:  *.mlxchange.com and your own branded domain name, if you created one (e.g. YourName.com).
  2. Click Add after each Website address is entered.
How do I export my client contact information?

You can export your client contact information in a tab or comma delimited format.  After selecting Clients, click on the Action Bar and select Export.  Select your preferred export format (tab means tabs separate the exported fields and likewise for comma) and select Next then Headers and Next again.  Select Save and direct the file to download to your Desktop.  The file will then be located on your desktop.  For novices, if you want to easily import the information into Excel, right click on the file, select Open With and then select Excel.

How do I print Mailing Labels from my Contact Manager?

After selecting Clients, click on Details.  Under Details, select Print. Under reports to print, select Client Labels and then click Ok.  A list of standard Avery mailing labels will appear.
